Terms & Conditions for the Hosted Buyer Programme

Registration

Qualified Hosted Buyers will receive the following for free:

  • Return flights to/from your home country.  Flights will be booked to/from the same airport (Platinum level, non – UAE Hosted Buyers only)

  • Coach transfers between airport; hotel and ADNEC (Platinum level, non – UAE Hosted Buyers only) 

  • Accommodation (Platinum level, non - UAE Hosted Buyers only).  1 night in a Coral single room at Emirates Palace

  • Return transfer by car/coach for Dubai based Platinum level Hosted Buyers between Dubai and ADNEC (excludes Silver and Gold level Hosted Buyers)

  • Return transfer by car/coach for Abu Dhabi based Platinum level Hosted Buyers between Abu Dhabi and ADNEC (excludes Silver and Gold level Hosted Buyers)

  • Invites to the Official Opening Ceremony

  • Invite to a dedicated Networking Lunch

  • Passes to selected Conference Sessions

  • An online meeting request service 

  • Invite to the Evening Reception

  • Invite to the Breakfast Seminar

  • A copy of the latest industry research commissioned by UBMi

  • Access to the VIP Room/Business Lounge at the exhibitions

All other costs / expenses are the responsibility of the Hosted Buyer.  Examples may include but are not limited to the following:

  • Private transfers

  • All food/drinks except those provided at the following: Network Lunch; Evening Reception; Breakfast Seminar and VIP Room/Business Lounge

  • Upgrades (hotel/flight)

  • Extra nights accommodation

  • Travel Insurance

  • Any other extras

  • Transport between home; hotel and ADNEC for all Silver and Gold level Hosted Buyers

  • Accommodation for Silver and Gold level Hosted Buyers

Cancellations / No Shows

Cancellations


Cancellations must be sent by email to the following email address: This e-mail address is being protected from spam bots, you need JavaScript enabled to view it .  Cancellations will only be effective after you have received a confirmation email from UBMi.  Cancellations received after the 6th of November are treated as a No Show (please see No Show fees below).

Cancellation Fees The following fees apply to cancellations:

  • Cost of confirmed flights

  • Cancellations made on or later than 31 September 2008 will incur a fee of 5000 AED for non – UAE Hosted Buyers and 2000 AED for UAE Hosted Buyers

  • Cancellations will be debited from the credit card detailed on your application

No Shows

A No Show is defined as a Hosted Buyer who does not give written notice of cancellation by email and who does not complete meeting requirements or attend the Hosted Buyer activities for the exhibition at which they are a Hosted Buyer.

Hosted Buyer participation/attendance is monitored by UBMi and its exhibitors.  If there is a breach of the Cancellation or No Show Terms and Conditions, UBMi reserves the right to cancel your Hosted Buyer status. The appropriate Cancellation or No Show Fees will be charged to the credit card details given in your application; and an invoice sent to you by email.  Appropriate checks wil be carried out prior to charging your card.

No Shows Fees


No Show fees for Hosted Buyers apply:
• If you do not accept the required nUBMer of meetings before the close of the online meeting service
• You are reported at the exhibition as a No Show
• You are unable to attend and do not let us know by email before the close of business Thursday 6th November 2008
• If you miss 2 or more pre – scheduled meetings per day of attendance at the exhibition for which you are a Hosted Buyer

No Show Fees for Hosted Buyers:


• 3000 AED for UAE Hosted Buyers
• 7000 AED for non – UAE Hosted Buyers

Travel

  • Due to airline restrictions, changes to confirmed travel plans will be considered on a case by case basis by UBMi

  • UBMi reserves the right to charge for changes to travel plans.  Charges will be made to the credit card given in your application and details sent to you by email

  • Unused flight tickets must be returned to UBMi

  • Should you require a Visa to enter the UAE it is the responsibility of each Hosted Buyer to organise their own Visa to attend the exhibition

  • For information about Visas for attending an exhibition in the UAE please contact the UAE consulate in your own country

  • Travel Insurance is the responsibility of each Hosted Buyer and UBMi will not be held responsible for each Hosted Buyers travel insurance under any circumstances

  • Travel insurance must be in effect from the day of departure to the UAE to the day of your return to your home country

  • Hosted Buyers are responsible for any excess baggage; custom and airport fees

  • UBMi does not endorse or approve export gifts given to Hosted Buyers during their exhibition stay in the UAE

  • All legal requirements for the export of materials/gifts from the UAE and import of materials/gifts to your home country is the responsibility of the Hosted Buyer

Attendance

  • UBMi is responsible for co-ordinating your participation as a Hosted Buyer at the exhibition.  This includes flights; transfers; hotel (see Registration); and meeting times

  • Flights will be booked by UBMi over the duration of the exhibition only

  • All queries should be directed to UBMi.  Hosted Buyers should not contact our travel agent; airline; hotel or any other travel partner directly

  • Non – UAE Hosted Buyers who wish to make their own travel arrangements must inform UBMi directly

  • Private travel arrangments made must allow you to complete all attendance obligations, otherwise No Show Fees will apply

  • UBMi will not be held responsible for any Hosted Buyer who misses flights; transfers or any other activity relating to the exhibition

  • UBMi will not be held responsible for any Hosted Buyer who misses flights due to Visa complications or airline delays/cancellations

  • Any additional expenses incurred are the responsibility of the Hosted Buyer

  • Hosted Buyers must settle all expenses with the hotel prior to their departure

  • Hosted Buyers who do not complete their meeting requirements  by the agreed date will be liable for the No Show fee

  • Hosted Buyers who are unable to honour a meeting on the day of the exhibition should contact the exibitor directly  to arrange a more convenient time

  • Where a meeting is missed on the day of the exhibition, with no other arrangements made with the exhibitor, No Show fees may apply at the discretion of UBMi

  • Attendance of meetings will be monitored  and non attendance shall constitute a breach of the terms and conditions

Substitution

Acceptance onto the Hosted Buyer Programme is non-transferable.  If a situation arises where you are unable to attend you may suggest a suitable replacement from your organisation.  UBMi may choose to accept this person after a review of their application.

  • The cost of the flight will be charged to the original Hosted Buyer where the cancellation/substitution is requested after UBMi have confirmed flight details with the original Hosted Buyer

  • Cancellation charges will not apply if a substitution is agreed/accepted by UBMi by email before 31 September 2008.  Excludes confirmed flight cancellation charges (see above)

  • Cancellation charges will apply to the orignal Hosted Buyer for substitutions after the cancellation date of 31 September 2008

  • If the suggested substitution does not meet UBMi’s Hosted Buyer criteria normal cancellation charges will apply to the original Hosted Buyer
